Privacy Notice
Purpose
This notice is for the purpose of informing customers, staff, partners and suppliers we do business with.
Personal information are details relating to a specific identifiable person including, but not limited to: name, address, e-mail address, phone numbers, date of birth, identification numbers such as social security and/or registration numbers etc., documents such as passport, drivers licence etc. and similar information.
Personal Information is collected, stored, processed and/or passed on for the sole purpose of delivering moving and relocation services.
Personal information is exclusively disclosed to third parties to perform specified and agreed services pertaining to moving and relocation as well as any additional services the client has requested. Keller Swiss Group neither uses nor discloses any personal information for any undisclosed purpose. The only exception would be a lawful demand by authorities.
In order to perform the services agreed upon with the client, the required information will be collected from transferees or their representative agents (employer, moving or relocation agents or management companies or any other representatives) by phone, e-mail, IT applications, post etc.
Use of data
The necessary information to perform a move or relocation service is collected from the person or client placing the order or directly from the transferee. By receipt of an order and commencing the relocation process with the transferee, Keller Swiss Group has consent to the collection, handling and disclosure of any relevant personal information to complete the services requested. To perform an international relocation, information has to be exchanged with partners in other countries, including but not limited to moving or relocation agents, as well as authorities and transportation providers.
Information is stored in Keller Swiss Group's own databases and other systems for processing and accessing during the relocation process. Information is shared with third parties exclusively where necessary for the processing of the ordered services. Where and when required, information is submitted to government agencies and authorities in countries of origin and/or destination where privacy regulations and public information regulations will vary from Swiss regulations or EU General Data Protection Regulation (GDPR).
Retention and Disposal
Records are kept in line with tax laws and regulations in secured archives and are disposed of securely and controlled. Access to files holding personal information is based on a need-to-know principle and physical records are controlled accordingly. Access to systems and electronic files is restricted by job role, log-in and password control. Monitoring is conducted by the IT-department.
Security
Amongst others, Keller Swiss Group takes the following measures to protect personal privacy:
- Compliance with Swiss Data Safety and Privacy regulations which are aligned with EU GDPR;
- Internal rules and regulations in line with industry data security best practice;
- Experienced internal and external IT professionals;
- State of the art IT systems and a secure network and working environment;
- Staff who are trained in data safety, clean desk and device protection and who adhere to privacy protection and personal information handling guidelines;
- Continuous training with updates and refreshers at regular intervals to insure best practice at all times;
- Management of service providers incl. data security accountability;
- Compliance of this privacy notice throughout the entire supply chain;
- Adherence to this privacy notice by our global supplier network through managed contractual agreements.
Personal rights
You may request correction of personal data at any time should an error be noticed or a change be required. Upon written request, Keller Swiss Group will grant any client whose personal information is held, access to all carriers, recipients and forms containing his personal information. Anyone can request for his specific information pertaining to his person to be destroyed on completion of the services where it does not comprise part of a mandatory business record.
